Terms And Conditions
Welcome to Nepal Trip Services. These Terms and Conditions ("Terms") explain the agreement between you (the "client" or "traveler") and Nepal Trip Services ("we," "us," "our"). When you book a trip or use any of our services, you agree to follow these Terms. Please read them carefully before you pay.
1. Booking and Payment
- To reserve your trip, we ask for a 20% deposit of the total trip price.
- The deposit is non-refundable. If you cancel more than 30 days before your trip starts, you may ask us to move the deposit to another trip within 12 months.
- The remaining balance is due 30 days before departure. If it is not paid on time, we may cancel your booking.
- We accept Visa and Mastercard, PayPal and international bank transfer. Bank, card and transfer fees are paid by the client.
- If you need to pay in installments, please ask us. All payments must be completed before your trip begins.
- Prices are quoted in US dollars and cover only the items listed in your trip "Includes" section. Anything not listed is an extra cost.
2. Booking Confirmation
- Your booking is confirmed only when we have received your deposit and sent you a written confirmation.
- After confirmation, we will send you your itinerary, invoice and pre-departure information.
- Please check all names and dates on your confirmation, especially the spelling of your name as shown on your passport. Tell us right away if anything is wrong.
3. Cancellations and Changes
If you cancel or change your trip
Please tell us in writing (email). The cancellation date is the day we receive your message.
| When you cancel | What happens |
|---|---|
| More than 30 days before departure | You lose your deposit. It can be moved to a future trip, as described in Section 1. |
| 15 to 30 days before departure | 50% of the total trip price is charged. |
| Less than 15 days before departure | 100% of the trip price is charged. |
| After arrival, during the trip, or no-show | No refund, for any reason, including illness, injury or change of mind. |
Some costs, such as flights, permits and hotel bookings, are paid in advance and cannot be recovered. Where we can get money back from these providers, we will pass it on to you.
If we cancel or change your trip
We may cancel or change a trip if there are not enough travelers, or because of natural disasters, pandemics, strikes, political unrest, government restrictions or other events outside our control. If this happens, you can choose:
- A similar replacement trip
- A refund of the amount you paid, minus costs we have already paid and cannot recover
- A travel credit valid for 12 months
4. Travel Insurance
- Travel insurance is required for every traveler. We cannot accept you on a trip without it.
- Your policy must cover the activities in your trip and, for high-altitude treks, must include:
- The maximum altitude of your trip
- Emergency helicopter evacuation
- Medical treatment and hospital costs in Nepal
- Trip cancellation, delay and lost baggage (strongly recommended)
- Please send us your policy details before departure. Costs for rescue, evacuation or medical care are the client's responsibility, whether or not they are covered by insurance.
5. Health and Fitness
- Please be honest about your health and fitness before booking. Trekking and adventure trips are physically demanding.
- Tell us about any medical conditions, allergies, dietary needs or disabilities when you book, so we can plan safely.
- Travelers under 16 must be accompanied by a parent or guardian. Some trips are not suitable for children or for people with certain health conditions.
- You are responsible for having a valid passport, visa and any required vaccinations. We can guide you, but we cannot arrange these for you unless agreed in writing.
- If our guide or trip leader believes you are unfit to continue for health or safety reasons, we may ask you to stop, rest or return. This decision is final.
6. Changes to the Itinerary
- Mountain travel is unpredictable. Weather, flight delays, road conditions, landslides, permit rules and safety concerns can force changes.
- We may change routes, schedules, hotels, transport or guides if we think it is necessary for safety or smooth operation.
- We will always try to offer a fair alternative, but we do not pay compensation for changes caused by factors outside our control.
- Extra costs caused by these changes, such as extra hotel nights, meals or transport, are paid by the client unless stated otherwise.
7. Risks and Liability
- Adventure travel carries real risks, including altitude sickness, extreme weather, avalanches, rockfall, landslides, accidents, wildlife, delays, limited medical care and political disturbances.
- By booking with us, you understand and accept these risks.
- Before your trip, you may be asked to sign a Risk Acknowledgment and Release of Liability form.
- Nepal Trip Services and its staff are not responsible for loss, injury, illness, delay, damage or death during the trip, except where caused by our proven gross negligence, and only to the extent allowed by law.
- Please follow your guide's instructions at all times. Your guide has the final say on safety, including pace, route, turning back and whether to cross a pass or attempt a summit.
- If you ignore safety advice from our guides or from local authorities, you do so at your own risk.
8. Third-Party Services
- We work with local hotels, lodges, airlines, drivers, porters and other providers.
- We choose partners carefully, but we are not responsible for their actions, delays or failures.
- If a problem is caused by a third party, we will help where we reasonably can, but any claim must be made against that provider.
9. Behavior and Removal from a Trip
- Please respect our staff, other travelers, local people, local customs, religious sites and the natural environment.
- You must follow the laws of Nepal and of any other country on your route.
- We may remove anyone from a trip for unsafe, abusive, illegal or disruptive behavior, without refund.
- You are responsible for the cost of any damage you cause.
10. Photos and Videos
- We may take photos or videos during your trip and use them on our website, social media and marketing materials.
- If you do not want to appear in them, please tell us in writing before your trip starts.
11. Privacy and Your Data
- We collect only the information we need to run your trip, such as passport details, contact information, emergency contacts and health or dietary needs.
- We do not sell your personal data. We share it only with people who need it to deliver your trip, such as guides, hotels, airlines and permit offices.
- You may ask us at any time to see, correct or delete your personal data, unless we are required by law to keep it.
12. Complaints and Governing Law
- If something goes wrong during your trip, please tell your guide or trip leader immediately, so we can try to fix it on the spot.
- If the problem is not solved, you may send a formal written complaint to us within 30 days after your trip ends.
- These Terms are governed by the laws of Nepal. Any dispute that cannot be settled by discussion will be handled by the courts of Kathmandu, Nepal.
13. Changes to These Terms
- We may update these Terms from time to time. The latest version is always available on our website, with the "Last Updated" date at the top.
- The Terms in force on the date of your booking confirmation apply to your trip.
